Lost or Stolen Fuel Cards: 3 Things You Need to Do

Having access to a business fuel card is great. It means that you can drive around while on company business without having to worry about having cash at hand when you fuel up. However, like anything else, it is possible to mislay your fuel card or for it to be stolen. If this occurs, it is important that you know what you need to do.

Report that your fuel card has been lost or stolen to the fuel supplier

The first thing you need to do is to report that your fuel card is missing. Most companies which supply fuel cards have a dedicated 24hr number which you can call to report a lost or stolen card. Ideally, you should have made a note of this number and saved it on your cell phone or written it in your diary. If you did not do this, you should call your own companies accounts department, who will have the relevant details. When you call the fuel card company, you will need to verify that you are the person named on the account. Once you have done this, the company will block the missing card and will reissue a new card which will be sent out to your employer.

Contact your company

If you haven't already done so, you should now call your own company to report the card is missing. When reporting the card missing, you may be asked about the last time you used the card and the amount of fuel you purchased. This information will help the people in the accounts department to identify if anyone has used the card to purchase fuel since it went missing and before it was blocked. The accounts department can do this because they have access to a live report of charges made using the card. Any unrecognised payments will be raised with the company which supplies the fuel card as fraudulent.

Keep receipts 

It is likely you were about to fill your car with gas when you noticed you didn't have your fuel card. In light of this fact, once you have carried out the steps outlined above, you will need to meet the cost of filling up the fuel tank of the car yourself. When you do this, it is very important that you ask for and keep the receipt of sale, as this will allow you to claim back the cost of the fuel as part of your business expenses.
